Office Assistant

A local agency that serves people with developmental disabilities, and provides services and support that allow people with developmental disabilities to live productive and valued lives is searching for their next Office Assistant. Under general supervision, to perform a variety of responsible typing, transcription and general office work in support of the various sections of the business. General office work includes: typing, filing, scheduling, record keeping, data entry and retrieval, oral communications, document preparation and review, ordering and maintaining supplies and equipment and performing related work as assigned. This is a temporary, full time opportunity located in Red Bluff, CA.
 
Requirements of the Office Assistant: 
  • Must have knowledge of Modern office methods, procedures, supplies and equipment, including filing (hard copy and electronic), personal computer and word processing applications.
  • Two years of clerical and typing experience
  • Correct English usage, including spelling, grammar and punctuation.
  • Typing a variety of materials from handwritten or typed copy and/or machine dictation utilizing word processing software.
  • Great phone etiquette
  • High school/GED required
  • Typing accurately at a minimum speed of 55 words per minute.
  • The operation of a variety of office equipment including typewriters, personal computers, copiers, fax machines, transcribers, 10 key calculators.
  • Maintaining the confidentiality of case and organizational data.
  • Preparing and maintaining accurate files and records.
  • Dealing with the public with tact and courtesy.
  • Establishing and maintaining cooperative working relationships.
  • Understanding and following oral and written directions.
  • Entering and retrieving information from a terminal or personal computer.
  • Operating a computerized telephone system and various office machines.
  • May require the possession of a valid California Driver license and a satisfactory driving record, possession of or access to an insured vehicle, and willing­ness/ability to travel.
 
Benefits of the Office Assistant: 
$18.12 an hour
Temporary full time, expected to last a minimum of 3 months
Monday-Thursday 8:00am-5:00pm and Friday 8:00am-4:00pm
 
Responsibilities of the Office Assistant: 
  • Types from tape, handwritten or typed copy, utilizing appropriate software and/or system, a variety of materials, including letters, memos, initial interviews, individual program plans, addenda, approval forms, intake summaries, social assessments, commitment petitions, special incident reports, and annual reviews; transcribes reports using medical terminology.
  • Maintaining the confidentiality of case and organizational data.
  • Establishing and maintaining cooperative working relationships.
  • As receptionist, operates a computerized switchboard, receiving and screening all telephone calls and visitors to the facility, putting through calls, paging, taking messages and/or referring callers or visitors to an appropriate person; maintains sign out board; obtains and relays messages from answering service.
  • Prepares, organizes and distributes a variety of materials, including schedules, lists, worksheets, form letters, out-of-home placement vacancy lists and committee worksheets, orientation letters, referral packets, requests for fishing licenses and telephone lists.
  • Files/scans and retrieves a variety of materials, including client files, according to established proce­dures of the work unit; prepares new files and may purge files.
  • Receives, opens, date stamps, sorts and distributes incoming mail; prepares and processes outgoing mail, including UPS and Federal Express; requests funding for postage meter and takes mail to post office.
  • Makes, collates and distributes copies of a variety of materials; inputs data from reports, forms or questionnaires; sends and receives faxes; shreds documents.
  • Sorts, reviews, proofs and/or verifies accuracy of a variety of materials; researches information and records and resolves problem situations as necessary.
  • May request and check in supplies and materials as needed for office or unit operation.
  • May act for the supervisor in his/her absence.
  • May assist in training new staff.
  • Other duties as assigned.
