A local family owned and operated electric business is looking for an Administrative Assistant. This role will assist with growing a successful company. Maintaining an excellent work environment by performing a variety of clerical tasks. In addition to clerical responsibilities, acting as a liaison between office, team members customers, and vendors; you will assist with scheduling, payroll, monthly reconciliation, and legal requirements of compliancy. This is a full time, long term opportunity located in Redding, CA.
Requirements of the Administrative Assistant:
- High School Diploma or equivalent
- Previous office experience
- Competent computer skills including MS Office or equivalent
- Numerical and literacy skills
- Quick Books (Contractor’s Edition) is preferred
- Attention to detail

Benefits of the Administrative Assistant:
$20.00 and up, depending on experience
Monday-Friday 8:00am-5:00pm

Responsibilities of the Administrative Assistant:
- Provide administrative assistance to the Administrator of Operations, Projects Manager, Installers, Sales & Administrative Specialist
- Answers non-routine correspondence and assembles highly confidential and sensitive information
- Maintain company files, soft and hard copy alike
- Record keeping and data entry of timesheets
- Assist with Accounts Payable and Accounts Receivable
- Schedule and perform word processing activities; format, revise and print out copies of documents
- Proofread & edit general correspondences, Team Member Manual and CIIPP (keep current)
- Performs duties in the absence of the Administrator of Operations
- Performs other administrative or office duties as required or as assigned
- Keep Website current
- Social Media Prescence (Facebook, Instagram, Twitter)
Other Important Tasks & Responsibilities
- Keep office area clean and tidy
- Friendly “Gate Keeper”
- Greet vendors and clients and direct them to the correct team member
- Answers phones and transfer to the appropriate staff member
- Receive, sort and distribute incoming mail
- Prepare outgoing mail for distribution
- Faxing, scanning, and copying of documents
- Maintain office filing and storage systems
- Update and maintain databases such as mailing lists, contact lists and client information
- Maintain records such as driver license, ID cards and company credit card receipts
- Retrieve and Gather information when requested
- Assist with organizing appointments and meetings
- Assist with travel arrangements for team
- Monitor and maintain office supplies
- Ensure office equipment, vehicles and equipment are properly maintained and serviced
- Perform work related errands as requested such as going to the post office and bank
- Assist with event planning and implementation
Assist Project Estimator and Team:
- Typing of quotes and/or bid item documents
- Review contract documents for administrative and company requirements
- Verify sub-contractor qualifications (CSLB, D.I.R., and Insurance)
- Create and Maintain the Project binder system to include field and office copies of the RFI/COR Book, Spec Book, and Submittal Book, and closeout items.
- Assist project managers with the project bidding, start-up, and close-out activities
- Assist with verifying and maintaining current information on all sub-contractors and vendors (W9, Insurance Certs, DIR Registration Numbers, Contractors License, etc.)
